Privacy Policy

EsteemWay ("we", "our", or "us") operates esteemway.com (the "Service"). This Privacy Policy explains how we collect, use, and protect your personal information when you use our Service, including our integration with Google Gmail and Google Calendar.

By using EsteemWay, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Account Information

When you sign in with Google, we receive your name, email address, and profile picture from Google. This is used solely to create and identify your EsteemWay account.

Gmail Data

EsteemWay connects to your Gmail inbox to help you triage, organize, and respond to emails. Specifically, we access:

• Email metadata: sender name, sender email, subject line, and date received
• Email body content: to categorize emails as Action, Learning, or Recognition
• The ability to send replies on your behalf when you explicitly request it

We do not read, store, or process emails beyond what is needed to display them in your inbox and categorize them using AI. We do not share your email content with any third party for advertising or any purpose other than providing the Service.

Google Calendar Data

We access your Google Calendar in read-only mode to display your scheduled meetings and auto-plan your day around them. We do not modify, delete, or create calendar events.

Usage Data

We collect anonymized data about how you interact with the Service (pages visited, features used) to improve the product. This data cannot be linked back to your identity.

2. How We Use Your Data

• To display your Gmail inbox inside EsteemWay
• To categorize your emails using AI (Action, Learning, Recognition)
• To auto-plan your work day around your calendar meetings
• To send email replies on your behalf when you explicitly click "Send"
• To maintain your account and provide customer support

We do not use your Gmail or Calendar data to serve advertisements, build profiles for third parties, or train AI models.

3. Google API Services — Limited Use Disclosure

EsteemWay's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

The exact scopes we request, and why:

• gmail.readonly — read message headers, snippets and bodies so we can detect projects, commitments and follow-ups in your mail.
• gmail.send — send reminders and follow-up emails only when you explicitly ask us to.
• gmail.modify — mark messages as read or apply labels when you complete the matching action in EsteemWay. We never delete your mail.
• calendar.readonly — read your existing events so your day plan reflects real remaining capacity.
• openid, email, profile — identify the mailbox you connected.

Specifically, we confirm that:

• We only request Gmail and Calendar access scopes that are necessary for the Service to function
• We do not sell your Google data to third parties
• We do not use your Google data for advertising purposes
• We do not allow humans to read your Gmail data unless you explicitly grant permission or it is required for security purposes
• Your Google data is used only to provide and improve the EsteemWay service directly to you

4. Data Storage and Security

Your data is stored securely using Supabase, a trusted cloud database provider. We store:

• Your Gmail OAuth access and refresh tokens (encrypted)
• Email metadata and snippets you have viewed in EsteemWay
• Your planned actions, tasks, and day plans within the app

We use industry-standard encryption (TLS) for all data in transit and at rest. We do not store full email bodies permanently — only snippets used for categorization.

5. Data Retention and Deletion

We retain your data for as long as your account is active and a mailbox stays connected. Mail records, projects, follow-ups and planned actions live only as long as you keep them.

Deletion on request (immediate). You can delete everything yourself at any time: open Manage accounts in EsteemWay and choose Disconnect & delete my data. That immediately revokes our Google access and permanently removes your OAuth tokens, connected mail accounts, stored email records, projects, follow-ups, calendar entries and scan history. We keep only a minimal audit record of the deletion (your user id, the timestamp, the reason and which data areas were purged) to prove the request was honoured.

Automatic deletion after inactivity (120 days). If you do not log in for 120 consecutive days, we automatically delete your synced mail data using exactly the same process described above: we revoke our Google access and permanently remove your OAuth tokens, connected mail accounts, stored email records, projects, follow-ups, calendar entries and scan history. Before that happens we email you warnings at 90, 105 and 115 days of inactivity. Logging back in at any point resets the clock and cancels the scheduled deletion.

You may also email privacy@esteemway.com to request full account deletion; we complete such requests within 30 days.

6. Sharing Your Data

We do not sell, trade, or rent your personal information to anyone. We may share data only in these limited cases:

• Service providers: Supabase (database), Google (authentication and Gmail/Calendar APIs)
• Legal requirements: If required by law or to protect our legal rights

7. Your Rights

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Revoke Gmail/Calendar access at any time via Google Account Permissions
• Export your data in a portable format

8. Children's Privacy

EsteemWay is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on the Service. Your continued use of EsteemWay after changes are posted constitutes acceptance of the updated policy.
